Project Coordinator
Position Summary
The Project Coordinator will provide administrative support for a portfolio of utility capital projects. Working closely with Project Managers, Engineers, Construction teams, and external stakeholders, this individual will be responsible for coordinating project activities, maintaining project documentation, tracking schedules, and ensuring projects progress efficiently throughout the project lifecycle.
The ideal candidate is highly organized, detail-oriented, and experienced supporting multiple concurrent utility projects in a fast-paced environment.
- Support Project Managers and Engineers with planning, scheduling, and coordinating Substation project activities.
- Track project milestones, deliverables, and action items to ensure projects remain on schedule.
- Coordinate cross-functional communication between Engineering, Construction, Procurement, and other project stakeholders.
- Monitor project progress and proactively identify items requiring follow-up or escalation.
- Prepare, organize, maintain, and distribute project documentation, reports, meeting materials, and project records.
- Ensure project files are current, accurate, and maintained in accordance with company standards.
- Assist with document control and version management throughout the project lifecycle.
- Schedule project meetings and stakeholder discussions.
- Prepare meeting agendas and supporting documentation.
- Record meeting minutes and distribute action items.
- Track action items through completion and provide status updates.
- Support procurement activities by coordinating with vendors and suppliers.
- Track purchase orders, material deliveries, and equipment status.
- Assist with material logistics to support project schedules and field execution.
- Monitor project schedules and provide regular status updates to Project Managers and stakeholders.
- Assist in identifying schedule risks, delays, or resource constraints.
- Prepare reports and dashboards to support project visibility and decision-making.
- Support compliance with company policies, safety requirements, and regulatory standards.
- Assist with project audits and documentation reviews as required.
- Provide general administrative and logistical support to the Substation Project team.
Required Qualifications
- Minimum 3+ years of Project Coordinator experience supporting utility capital projects.
- Direct experience coordinating Substation projects within the electric utility industry.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience using project management or project tracking software.
- Ability to prioritize multiple assignments while managing competing deadlines.
- Ability to work effectively with cross-functional technical teams.
